Our Approach to Records Work

Every service Emberkeep provides follows the same underlying principle: describe what is present, note what is absent, and produce a written output that a qualified professional can use without further sorting. We do not advise, interpret entitlements, or act in anyone's name.

The three services differ in duration and depth. The Question Preparation Session is a single ninety-minute appointment. The Records Sorting Appointment is a half-day of physical document work. The Five-Month Coordination Programme is an ongoing engagement that spans an entire correspondence cycle with one or more institutions.

All sessions take place at our George Town office. All documents are returned to the client before the session closes. Nothing is retained.

Service 01

Question Preparation Session

A ninety-minute session that helps you write down, in order of importance, the questions you want to put to a qualified professional about your retirement records. Shows which documents usually accompany each question. Preparation and education only — nothing said constitutes advice on your circumstances.

How the Session Works

  5. 5Printed question sheet, document checklist, and practitioner directory are handed to you before the session closes

Records Sorting Appointment

A half-day appointment in which a coordinator sorts your papers by employer and year, builds a printed index, labels the physical file, and produces a scanned mirror on storage you control. Clerical work only, with no reading of meaning into any document. Ends with a written gap list.

  • Blank maintenance sheet for future additions

How the Appointment Works

Five-Month Coordination Programme

For households corresponding with more than one institution over an extended period. The programme provides a master register, a dated log of all letters sent and received, a reply calendar, fortnightly check-in calls, and a bound chronology written in neutral language for handover to a professional.

Standards Applied Across All Services

These protocols apply regardless of which service you choose.

Document Security

All documents are handled at the office only. Nothing is taken off-site by the coordinator. Originals remain with the client throughout and are counted back at the close of every appointment.

Scope Boundary

No advice on entitlements, contributions, or legal matters is given at any point in any service. Coordinators are trained to redirect questions that go beyond clerical and educational scope.

Neutral Written Outputs

Gap lists, question sheets, and chronologies describe documents in factual, neutral language. No conclusions about entitlements, errors, or disputes are included in any written output.

Client Data Privacy

Client information is not shared with third parties, including practitioners listed in our directory. Our office systems do not retain client data after the appointment is closed.

Price Transparency

Fees are confirmed in writing before any service begins. No charges are added during a session. Invoices are issued for all engagements without exception.

One Working Day Response

All initial enquiries receive a reply within one working day. Follow-up queries during an active service receive a reply the same day if received before 3 pm.
